The Must-Known 5 Cs of Event Management

Introduction

If you are into the field of event management for a long time, you will be aware of the 5 Cs which you need to master to be successful in this domain. We at Le Magnifique events have become proficient at them and today we will talk about the same.

We are one of the best event organisers in Delhi and we make your dream events come true.

What is Event Management?

  • Concept

Before you plunge into making the event a success, as an event planner, you need you need to extensively work on the concept. We at Le Magnifique events have detailed discussions with the client to understand their requirements and we discuss about the venue, menu, date, budget, theme, invitations and everything else.

If it is a corporate event, we try to understand the reason why the event is being held and conceptualise everything around it. That’s why we have been able to establish ourselves as one of the most respected event companies in Jaipur.

  • Coordination

After you have finalized the concept with the client for the personal or corporate event, you need to wear the hat of the coordinator. You need to collaborate with all your business associates who will help with venue booking, venue decoration, flower arrangement, catering service, concierge service to book hotel rooms and flight tickets for the guests, printing invitation cards etc.

If it is a wedding, you might need to coordinate with fashion designers to help the bride to choose her wedding dress and trousseau. You will have to hire mehandi artists, musicians, DJ, arrange for liquor for the various events during the wedding. You always need to have a plan B in case plan A fails. There will be times when you need to find immediate alternative arrangements, and your coordination skills will come handy during those times.

  • Control

During the entire period from conceptualization to planning to execution of the event, you need to be in complete control. There will be multiple occasions during the event when you will have to deal with last-minute modifications, supplier issues, and keeping everyone on schedule. You cannot afford to lose your control over your team and vendors.

During every phase your hands on experience will come handy. There will be times when the laborers and artists will try to take advantage of the situation. You need to get used to dirtying your hands while planning and executing an event. If that requires for you to chop vegetables, do the flower arrangements, become a plumber or electrician, do not hesitate to take the plunge. The people who were trying to take advantage of the situation will get the message and start doing their work. This stage lasts the longest, from planning to execution.

  • Culmination

This stage comes into picture on D-Day. Be prepared for anything or any situation to go wrong. Your presence of mind and ability to think on your feet will come handy. As the event begins, make sure the itinerary is followed. Be it a personal event or a corporate one, that’s the key.

During a birthday party, check if the magicians and comedians have arrived the venue before the event begins. If someone is cancelling the last minute, you need to coordinate with your team and arrange for a backup immediately. You need to check on the cake supplier and caterer first to ensure that the food will arrive on time.

If it is a corporate event, you need to be all the more vigilant. If one speaker is speaking, make sure the second speaker is ready. While the receptionists are checking in visitors, the caterers should be preparing the meal. If there is a long gap between two speakers or events, you need to have some employees ready with filler activities like standup comedy or sharing about their experience in the organization etc.

  • Closeout

If you have handled events in the past, you would know that events tend to continue even when participants depart and the lights go out. Review the event, evaluate if it met your goals, and compile a list of the highlights and lowlights to improve future events.

You will have to settle the payment for vendors, caterers, cameraman and videographer, light and music company etc. You will need to send the pictures and video clips to the client and if the contract included individual requests for printing and framing the pictures, you will need to comply with that.

If it was a sales event and your responsibility included following up on the leads, you need to do it seamlessly. If you help the company to generate good leads which end up in final conversion, in all probability the same company will hire you for their next event.

Conclusion

Whether you are planning for the big destination wedding for your beloved daughter, or want your son to remember his birthday celebrations for years to come, we are one of the best event companies in Delhi NCR who will help you to realize that dream.
